Files, knowledge and projects

Files and knowledge

Attach files to a task, keep reusable guidance and files in Knowledge, and preview or download them.

You can give an AI employee files with a task, and keep material your team uses again and again in Knowledge.

Attach files to a task

  1. In the task box on Home, or in a task's reply box, choose the + button (Add materials).
  2. Choose Upload from this device to add files from your computer, or Choose from knowledge to tick files already in Knowledge and add them.
  3. Check the files shown under the box, then send the task or reply.

Each file can be at most 25 MB. One task accepts at most 10 files and 50 MB in total.

Add knowledge

  1. Open Knowledge in the sidebar and choose Add knowledge.
  2. Choose Text and pick a Type (Rule, Term or Template), then enter a Name and the Content. Or choose File and choose a file.
  3. Under Who can view this, choose Shared in this workspace, Shared company-wide or Only you, and pick a Category if you like.
  4. Choose Save and share, or Save to personal knowledge for an item only you can see.

Only company owners and administrators can share with the whole company. If an item with the same name already exists, choose Replace to save yours as a new version of it, or Keep both.

What AI employees read

Active text items (rules, terms and templates) you can see in a workspace are given to the AI employee with every task you start there. A knowledge file is given only when you add it to a task, pin it to a project or add it to a scheduled task. You can also save a result from a task with Save to knowledge, and an AI employee may save what it learns from your messages by itself: its reply then shows what it saved, with View and Undo.

Preview, versions and managing an item

  1. In Knowledge, choose an item to open its details beside the list.
  2. Choose Preview file to read it, or Download original to save it. PDF, image, plain text and DOCX files can be previewed; for other types, download the original.
  3. Under Version history, preview or download any earlier version.
  4. Choose Manage to Change category, Change access, Move to workspace or Stop the item. Use the Status filter to find stopped items and Re-enable them.

A stopped item no longer appears in the picker for new tasks. Where it was provided to existing tasks, and its history, stay.
